Workflow automation
Every case has an owner, a deadline and a next step
We automate repetitive steps in handling inquiries, quotes and jobs, and add AI where it helps.

Example: on Monday an inquiry from the web form goes to Anna with a reply due by Tuesday, 12:00. An email with an unusual scope fits no rule, so it goes to the sales manager. On Tuesday Anna sends the quote on time. The customer does not reply, so on Friday Anna gets a reminder with the contact history.
The automation keeps track of deadlines and passes cases on. Pricing, the content of the quote and the conversation with the customer stay with a person.
What we do
- We map how a case really moves through the company: who, in which tool and where it waits.
- Every step gets a person responsible, a deadline and a next step.
- We automate the repetitive steps: assignment, reminders, statuses, documents.
- Exceptions go to the person responsible, with the case history. We add AI where free-form text has to be understood.
What you get
- A process map showing where cases wait.
- A working flow in the tools you use.
- Rules for handing over exceptions and a short note for the team: what happens on its own and what people do.
Inquiries, quotes and returning customers
Every inquiry lands in one place with a person responsible, a quote without a reply comes back with a reminder, and after a purchase the customer gets a message about the next order or service. Which acquisition channels pay off is shown by data analytics.
How we start
Initial call
30 minutes, free
You tell us what you want to improve or build. We say plainly whether we can help and where to start.
Business Discovery
PLN 5,000 net
The default first stage of the work, about 1–2 weeks from receiving the agreed access. NDA before access, payment on completion. You get a report, recommendations and a plan for the next steps; three months of basic Steering Center to review the report are included.
Implementation
Scope and price agreed separately
If we go further, we agree the scope and price. Discovery carries no obligation to continue; exceptions to this order are agreed case by case.
With automation, Discovery helps identify the process that weighs most on your team.
Questions about this service
- Do we need AI for automation?
- Often not. Plain rules handle most steps. We add AI where the content of an email or a ticket has to be understood.
- What tools do you build on?
- On tools chosen to fit the systems you already have. We check what they can do before agreeing the scope.
- Who looks after the automation after rollout?
- We agree it in the scope: a handover to your team or continued work with us.
- Which process should we start with?
- The one that most often lands back on you or holds up the team. If that is not clear, Business Discovery helps.
Let's talk about the process that keeps landing on you
